We are Hitchhiker Tour and Adventures Pvt. Ltd. (The Pioneer of The North) and we look forward to the opportunity to act as your tour operator for your travel needs. These terms and conditions (the “Agreement”) describe what you are legally entitled to expect from us when you purchase travel related services through us, in addition to your obligations as a customer. The terms “we”, “us” and “our” refer to Hitchhiker Tour and Adventures Pvt. Ltd. The term “you” refers to the customer visiting our website, booking a reservation through us or otherwise using our services.
Packages and Service Providers
A ‘package’ is a pre-arranged combination of at least two of the following, booked by you through us at an inclusive price, and where the combination lasts for a period of more than 24 hours or involves overnight accommodation:
(c) other services not ancillary to transport or accommodation and a significant part of the booking.
Where the arrangements which you make with us for your holiday do not amount to a ‘package’ (as defined above) our obligation is limited to using reasonable skill and care in selecting a suitable supplier for the component you have booked e.g. accommodation and your contract will be with the supplier and not us, who will act as an agent.
All itineraries are sample itineraries in our packages, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants’ safety, comfort & general well-being.
Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines, service providers etc. Hotels, Airlines and service providers retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels,service providers or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary.
Hitchhiker Tour and Adventures Pvt. Ltd. is acting as intermediary or a “Booking Agent” for products and services that are not directly supplied by us (e.g., air carriage and ground transportation, hotel accommodations, meals, tours, cruises, etc.). We are not a co-vendor of such products and services. You will be entering into a separate contract with such Suppliers in connection with such services.
We shall not be responsible for any delays & alterations in the programme or expenses incurred – directly or indirectly – due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.
We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting – directly or indirectly – from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.
We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. Visitors are advised to seek such insurance arrangements in their home country or city. All baggages & personal property/s at all times are at the client’s risk.
Please Note : We will not be responsible for any costs arising out of unforeseen circumstances like landslides, road blocks, bad weather, etc.
Please note that after the finalization of the Tour/ service Cost, if there are any Hike in entrance fees of monuments / museums, Taxes, fuel cost or guide charges – by Govt of India, the same would be charged as extra, (charges will be not taken only if the charges are included in the tour package) .
Payment & Deposits
Any deposits from you are refundable or non-refundable depends on our cancellation policy. Payment of a deposit enables us to hold a reservation for you but does not guarantee the price. The price can only be guaranteed once we receive full payment and other travel documents have been issued, subject to any terms and conditions of the Supplier. We will advise you of the date that full payment is required. Upon your provision of your payment information, you are authorizing us to make the payment arrangements with the corresponding Suppliers.
We reserve the right to refuse personal checks as a method of payment. After full payment, the conditions of the contract with your Supplier may permit them to increase the cost of your arrangements. If we are acting as your Booking Agent, we will pass on any such increase to you as we become aware of such increase. If we have arranged a package, changes in transportation costs including the cost of fuel, taxes, fees and exchange rates mean that the price of your travel arrangements may change after you have paid in full.
Note:- Actual Package Rates can be differ from the rates showed in the website at the time of booking .
In the event of cancellation of tour / travel services due to any avoidable / unavoidable reason/s we must be notified of the same in writing. Cancellation charges will be effective from the date we receive advice in writing, and cancellation charges would be as follows:
- 42 days prior to arrival: 10% of the Tour & service cost
- 14 days prior to arrival: 25% of the Tour & service cost
- 07 days prior to arrival: 50% of the Tour & service cost
- 48 hours prior to arrival OR No Show: No Refund
Note: Written cancellation will accept on all working days, except Sunday, Any cancellation sent on Sunday’s will be considered on next working day (Monday).
For the special occasions(like X-mas, new year period etc.) or season peak time(depends on destinations season time) the payment is non-refundable.
In case you cancel the trip after commencement, refund would be restricted to a limited amount only which too would depend on the amount that we would be able to recover from the hoteliers/contractors we patronize. For unused hotel accommodation, chartered transportation & missed meals etc. we do not bear any responsibility to refund.
Wildlife Safaris cancellation:All the wildlife safaris booked into any of Indian Wildlife National Park/Sanctuaries are non refundable. Even date change request will be considered as cancellation and no payment will be refunded/ adjusted against it.
If You Have A Complaint
If you have a problem during your holiday, please inform the relevant Supplier or service provider(e.g. your hotel, Taxi driver/owner) immediately. Should they be unable to resolve the matter, please immediately contact us through our contact numbers, or through www.thepioneerofthenorth.com. If you fail to timely contact us, we will not be permitted the opportunity to investigate your complaint and attempt to rectify any error while you are away, and this may affect your rights under this Agreement.
Our general practice is to send documents to our customers electronically whenever possible. We reserve the right to charge an administration fee should you make a request for such documents to be sent as a hard copy.
Hitchhiker Tour and Adventures Pvt. Ltd. reserves the right to revise, amend or modify our TERMS & CONDITIONS policy at any time and in any manner it pleases. Any change or revision will be posted here.
